Rt. 66 Festival Feedback
The Rt. 66 Festival could use much improvement. Attendance was low. People in Elk City and Weatherford did not know it was being held. Communication was difficult. Ann Newcomb got feedback from one of the motorcycle participants. We should talk with her to get some more details. Booth rent was high. ($75 dollars in advance. $100 onsite.) Vendors had difficulty earning things back. Setup was inefficient.
Board of Directors
We discussed the possible Board of Director Members.
The following were presented as possible board members:

We discussed that we needed eleven members to fill out initial slate of board members. Once the board officially meets, then that number can be officially expanded to fifteen members. Terms can be set up with a three year rotation if that is what is desired.
Since there are some family members that are nominated we discussed nepotism rules. Donelle is going to do research on this matter and get back with us. We also discussed the possibility of appointing Kristin as secretary if it is not possible for her to serve on the board with Matthew. Kristin is willing to do whatever is necessary to assist.
We also discussed creating a Brain Trust/Advisory Board to have members that have more experience to offer wisdom and insight to the Board of Directors.
Joe Hatcher moved and Donelle Ratheal Wollman seconded that Jackie Kropp would serve as the Library Liaison and Joyce Schimmel would serve as the Rt. 66 Museum Liaison. It was approved.
Kristin Blakeburn moved and Ashley Underwood seconded for Donelle Ratheal Wollmann to serve as legal counsel and advisor to the Board. It was approved.
Amy Fiegener moved to have Melissa Goodblanket as a Liaison to the Tribe. She rescinded her motion because she did not want anyone to not be able to serve.
Joe Hatcher moved and Amy Fiegener seconded to invite the following to serve on the initial Board of Directors with the provision that Matthew will talk to all of those nominated to see if they are willing and able to serve. It was approved. Those notated with a yes, have agreed to serve.

Movie nights will begin on Tuesday, June 13. We will show movies every other week. This starting date will allow us to skip the 4th of July.
The City of Clinton will let us use the projector whenever we want. They have a 40 – 50 foot wide screen and sound system too. Our backup rain location will be at the Armory.
Jackie Kropp from the Library explained about the MovieLicensingUSA.com and what the license allows us to use.
a. We have to check each title by name
b. We can use any format (Blue Ray, DVD, digital download, etc.)
c. Cannot advertise the name of the movie. However, we can write a clever description to draw people in with curiosity. Jackie thinks we can say go to the library website or the library to find out the title. She will check. She will also find out if we can put it on our Facebook.
d. We can advertise the genre.
e. The projector is bright enough for us to start at dusk. We think we need to test this to get a definitive start time.
f. The City will mow.
g. Ants are usually a problem at the Amphitheatre. Matthew will check with the City about spraying.
h. People will need to bring chairs and bug spray.
We chose movies for the following dates:
June 13 – La La Land
June 27 – Casa Blanca
July 11 – Little Mermaid – This will coordinate with the Little Mermaid Camp at the Southwest Playhouse.
July 25 - Jaws
We discussed the need to hire security, probably two people, at $20/hour.
Concessions will be offered. This brought more discussion about the pros and cons of having free concessions, priced concessions, and concessions by donations. We decided to offer Free Popcorn (sponsored by Donelle’s Law Firm) and offer other concessions by donation.
Kelly Cornell will talk to Bar S about donating hot dogs. Debi Nicholson has volunteered a trailer. We need to follow-up with her about this and see if Pepsi products will be provided.
Matthew will send a survey to ask about the availability for helpers.
We also discussed the idea of having a free swim night at the pool in conjunction with the Movie Night.
We will check with the City to see about putting out extra trash cans. Donelle will call drug court contacts with Judge Weedon’s office to see if we can have drug court people available to help clean up on Wednesday mornings after the events. We will also contact Jerry Woods at the Sherriff’s Office to see about having trusties help with cleanup.
The Hub City Arts Festival will be held on September 9, 2017.
We have to meet one more time before movie night. This will be on Sunday, June 11 at 5:00pm. Meeting place to be determined. This will be the General Organizational meeting group.
The Board will meet on Wednesday, May 31 at 6:30pm at the Blakeburn Home, 90 Stratton Lane.
